Yulia Properties (“we”, “us”, “our”) is an independent estate agent serving Watford and the surrounding areas of Hertfordshire. We take your privacy seriously. This policy explains what personal information we collect through this website (yuliaproperties.co.uk), how we use it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Who we are and how to contact us

Yulia Properties is the “data controller” for the personal information described in this policy.

What information we collect

We only collect the information you choose to give us. This depends on how you use the site:

  • Valuation request form: your name, phone number, email address, the address of your property, and any message you add.
  • Maintenance issue form: your name, phone number, email address, property address, how urgent the issue is, and a description of the problem.
  • Phone, email or WhatsApp: if you contact us directly, we receive the details you share, such as your name, number and the content of your message.
  • Property search: search terms and filters you enter (for example location, price and number of bedrooms) are used to show you matching properties.
  • Technical information: like most websites, our web server may log your IP address, browser type and the pages you visit, for security and to keep the site running.

Please do not include sensitive information (such as health details or bank details) in our forms. If something affects your safety, call us instead.

How we use your information and our lawful basis

  • To respond to your enquiry or valuation request. We do this because it is in our legitimate interests to reply to people who contact us, and to take steps you ask for before entering into a contract.
  • To arrange repairs and maintenance for properties we manage. This is necessary to carry out our contract with landlords and to meet our legal duties to tenants.
  • To provide our lettings and property services, including marketing, viewings, referencing and tenancy management, where you have become a client or tenant. This is covered by contract and our legal obligations.
  • To keep the website secure and working properly. This is in our legitimate interests.
  • To comply with the law, for example anti-money-laundering checks, tax and accounting requirements.

We will not send you marketing messages unless you have asked us to or agreed to receive them, and you can opt out at any time. We do not sell your personal information.

Who we share your information with

We only share your information where we need to, and only with people who need it to help us deliver our service:

  • Service providers who help us run our business and website, such as our web hosting and email providers.
  • Contractors and tradespeople we instruct to carry out repairs at a property, who will receive only the details needed to do the work.
  • Referencing, deposit protection and compliance providers where you are a tenant or landlord using those services.
  • Professional bodies, regulators and legal authorities where we are required to by law, or to deal with a complaint (for example The Property Ombudsman or Propertymark).

Where a provider is based outside the UK, we make sure appropriate safeguards are in place as required by data protection law.

How long we keep your information

We keep personal information only for as long as we need it for the purpose it was collected, and to meet our legal, accounting and regulatory obligations. Enquiries that do not lead to us providing a service are kept for a limited period and then deleted. Records relating to tenancies and property management are kept for longer, as the law requires.

Cookies

Cookies are small text files that a website places on your device. Our website uses only a minimal number of cookies and similar technologies:

  • Strictly necessary cookies. These are needed for the site to work, for example to keep our forms secure and, for staff, to keep them logged in to manage the website. These do not need your consent.
  • Functional storage. Our property search tool may remember your search filters or saved searches in your browser so you do not have to re-enter them. This stays on your device.

We do not use advertising, tracking or analytics cookies on this website.

Some pages load a page-sharing tool from AddToAny (addtoany.com/privacy), which means your browser contacts their servers when the page loads. If you click through to our Google review page, allAgents or WhatsApp, those are separate services with their own privacy and cookie policies, and we are not responsible for how they use your information.

You can control or delete cookies at any time through your browser settings. Blocking strictly necessary cookies may stop parts of the site, such as forms, from working properly. If we ever add analytics or marketing cookies, we will ask for your consent first and update this policy.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information, in certain circumstances;
  • ask us to restrict how we use your information, in certain circumstances;
  • object to us using your information based on our legitimate interests;
  • ask for your information in a portable format, where it applies;
  • withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, contact us using the details above. We will normally reply within one month.

Making a complaint

If you are unhappy with how we have handled your personal information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint, or by phone on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last changed shown at the top.
